Personal / Group Training & Online Coaching Agreement
1. Scope of Services
This agreement covers both in-person personal/group training sessions and online coaching services, depending on the client’s selected package.
Services may include (but are not limited to): training sessions, programme design, coaching support, check-ins, and ongoing communication.
2. Cancellation & Rescheduling Policy
All scheduled sessions (in-person or online) require a minimum of 24 hours’ notice for cancellation or rescheduling.
Where 24 hours’ notice is provided, sessions will be rescheduled at no additional cost.
Cancellations made within 24 hours of the scheduled session time, or failure to attend a scheduled session without notice, will result in the session being forfeited and charged in full.
3. Payment Terms & Conditions
Payments for personal & online training are made via a monthly subscription and must be paid in advance of each coaching period.
Contract Termination: A minimum of 30 days’ notice is required to terminate this agreement.
Coaching services, including programming, support, and communication, are only provided while payments are active and up to date.
If payment fails or is not received on the due date, all coaching services will be immediately paused until payment is received in full.
Any outstanding balances must be cleared before coaching services resume.
4. Missed Engagement or Non-Participation (Online Coaching)
Failure to participate in the programme, complete check-ins, follow the training plan, attend scheduled sessions, or otherwise engage with the coaching services during a paid coaching period does not constitute grounds for a refund, partial refund, credit, or extension.
5. In-Person Training – Missed Sessions & Refund Policy
Sessions, check-ins, or programme updates missed due to client holiday, absence, or rescheduling outside of the 24-hour cancellation policy must be used within an 8-week period from the original scheduled session date. Failure to do so will result in the session or service being forfeited.
All payments made are non-refundable. In exceptional circumstances, the coach may, at their sole discretion, offer a credit or extension of services.
Group Training: cancellations require a minimum of 24 hours’ advance notice. Should a session be cancelled with appropriate notice and subsequently rescheduled, no additional fee will be incurred. This policy is applicable to both the client and the trainer. Cancellations made within 24 hours of the scheduled appointment, as well as failure to attend without prior notice, will result in the full session fee being charged. The trainer retains the discretion to make exceptions to this policy under extraordinary circumstances.
6. Payment & Refund Policy
All payments are strictly non-refundable.
No refunds will be issued for partial months, unused services, missed sessions, holidays, absence, or non-participation.
7. Coach’s Commitment
The coach agrees to provide:

Structured and personalised training programming / group training programme

Clear communication of expectations and training guidance

Ongoing support via agreed communication channels

Timely delivery of programmes, updates, and feedback

Professional coaching aligned with the client’s goals
8. Client Commitment
The client agrees to:

Engage consistently with the coaching programme and attend all scheduled sessions

Complete training sessions and check-ins to the best of their ability

Provide accurate and honest information regarding health, injury, nutrition, and lifestyle

Inform the coach promptly of any changes affecting training or availability

Take responsibility for raising any concerns or dissatisfaction
9. Coaching Boundaries and Client Responsibility
Personal/group training and online coaching services are fitness coaching services only and do not constitute medical advice, diagnosis, or treatment.
Clients are responsible for ensuring they are medically fit to participate in exercise and should seek clearance from a GP or qualified healthcare professional where necessary.
The coach is not responsible for injuries, health issues, or adverse outcomes resulting from:

Failure to disclose relevant medical information

Incorrect execution of exercises

Actions taken outside of the guidance provided
Clients accept full responsibility for their own health, safety, and wellbeing throughout participation in all training services.
10. Limitation of Liability
To the fullest extent permitted under UK law, the coach shall not be liable for any indirect, incidental, or consequential loss arising from participation in personal training or online coaching services.
Nothing in this agreement excludes or limits liability for death or personal injury caused by negligence, or any liability which cannot be excluded under UK law.
11. Acceptance of Terms
By purchasing or engaging in personal/group training or online coaching services, the client confirms they have read, understood, and agreed to these Terms and Conditions.
